About the Role

Reporting to the Head of Property, the Assistant Property Manager is responsible for supporting the property teams, including the Head of Property, Business Development Managers, Property Managers, and Managed Services.

Responsibilities

  • Supporting Head of Property, Business Development Managers and Property Managers with day-to-day administrative tasks.
  • Supporting the Managed Services team with property checks and inspections, identifying and reporting any housekeeping or maintenance issues that might arise within the managed services portfolio and further properties in the portfolio when required.
  • Handling and responding to day-to-day queries from owners and logging key information into our CRM system.
  • Preparing monthly property performance statistics and reports for the Property Management team and alerting them to any performance-related issues arising.
  • Supporting with property performance data, feedback, analysis, property compliance and other key information for owner performance review meetings and undertaking appropriate follow-up as required.
  • Supporting all stages of the property onboarding process and managing the onboarding checklist for new properties.
  • Preparing and sending Agency Agreements as well as creating and sending owner and housekeeper logins for our systems.
  • Creating new property web listings on our web platform, including continuous maintenance and updating of listings to ensure full accuracy.
  • Uploading rates. Use of dynamic pricing as an alternative pricing model to Supercontrol.
  • Ensuring our property web listings and property listings on affiliate sites are up to date.
  • Creating and maintaining all property-related documentation, including property information books and guest arrival information.
  • Undertaking any special project work as required, including market research or wider comparator work.

Objectives

  • Operational Excellence – ensure all owners and team members receive timely and effective support (during office hours).
  • Attention to detail – checking all work, including property standards, correspondence, copy, rates and performance figures, to ensure it is accurate.
  • Meeting commercial objectives – working as a team to achieve Crabtree & Crabtree’s commercial objectives, including:
    • Sales and property performance (occupancy and revenue)
    • Growth of portfolio
    • Guest and owner satisfaction
    • Overall portfolio performance
  • Administrative Support to Senior Team – provide administrative support to the Head of Property Management, Business Development Managers and Property Managers (diary management, coordination, correspondence, special projects).
  • Knowledge sharing – sharing ideas and suggestions with other members of the team and ensuring that systems are always up to date.
  • Owner experience – enhance the Crabtree & Crabtree owner experience by going above and beyond to ensure owners receive the best possible service.

As well as a competitive industry salary of £30,000 (pro rated to £24,000) per annum, the benefits include:

Work location: hybrid remote in Northumberland. The Crabtree & Crabtree main office is in Kelso.

This is a part-time role of 32 hours per week.
